Context
Regione Lombardia is the administrative body overseeing Italy’s most populous region. Among its duties is the validation of internship applications submitted by educational institutions and companies.
These applications must meet a strict set of criteria before funding can be released. Today, only two sta members manually verify each request, a process that is slow, labor-intensive, and prone to delays especially given the high volume of submissions.
Challenge & Solutions

The manual verification of internship applications became a critical bottleneck—slowing down approvals, increasing the risk of processing non-compliant cases, and delaying the release of funds. With only two human operators, the review process was inconsistent and unsustainable.
To address this, Regione Lombardia integrated GAIA into its internal review system. GAIA autonomously verifies whether each application complies with defined criteria. If compliant, it forwards the case to the human operator for final approval. If discrepancies are found, GAIA flags only the specific problematic fields, allowing staff to focus their efforts where it matters most.
PHASE 2 – GAIA WEB:
In the upcoming phase, GAIA will autonomously send anomaly alerts via self-generated emails. If a required document is missing, GAIA notifies the applicant. Once the corrected file is uploaded, the assistant re-verifies the case and updates the record—entirely without human intervention.
